Today's newsletter is all about Hotel applications.
As you can imagine, trying to fit 170 odd people into The Diplomat Hotel just doesn't work.
The Diplomat Hotel only has 50 rooms and a lawn where people can pitch a tent or pull up in their mobile homes. This is why we also run our overflow hotel, The Sessile Oak. It has 25 rooms for our use.
The maths still doesn't really work, and this is why we ask that our campers do the wonderful thing and where possible, share a room with a fellow camper.
How to apply for a room.
From Monday 18th August at 19:00 BST you will be able to enter your hotel preferences into an online form for our hotel team to process.
The hotel preferences form will be available in your Guest Area from this date.
Do please check you are able to log in before this time.
The form will allow you to request your preferred hotel: The Diplomat, The Sessile Oak, Camping or Other (Self Booking). You must be able to provide the ticket numbers of who you will be sharing with, when you wish to check in and check out and any relevant booking information.
The final part is to provide information on any special requirements. IE. Ground floor room or no stairs due to medical reasons, or you want an extra bed to fit 3 people in your room etc.
The Diplomat hotel is an old hotel so we will do our best to accommodate your wishes where practical. Most rooms are accessible via the lift, and the majority now have showers rather than showers within a bath.
Some are now twin rooms, rather than double rooms. Please be aware that you may get offered a Twin rather than a Double. There isn't a huge amount we can do about this unfortunately.
- Please note that the team member processing these requests will be given anonymised information. They won't know the individuals. All pertinent information must be provided in this form. We will give priority to those wishing to share rooms.
- The Diplomat only has one fully Accessible room. There are a few other ground floor rooms. All floors are accessible via a lift but not all rooms are accessible by lift.
- Please bear with us as this is a very difficult task.
- Please DO NOT contact any of our team on social media or other means with regards to your hotel room. If you have any questions, please email info@llamedosholidaycamp.com with the subject line "Hotel"
We will begin to process requests from Friday 22nd August and will let you know asap if you've been successful getting your preferred hotel.
Once you have been offered a hotel room we will provide information on how to pay.
The Diplomat Hotel will require one night's deposit by the 28th October 2025, with the balance by 26th January 2026.
The Sessile Oak will require payment in full by the very latest the 28th October 2025.
NOTE: The Sessile Oak bookings and payment are done directly with Llamedos Holiday Camp as we have pre-booked the entire hotel for the weekend. Once payment has been taken it is not possible to cancel the booking. If you do not pay within the deadline, we will contact you once to find out when you can pay. If you still cannot pay within a reasonable time, then we will cancel your room.
Hotel Prices - The Diplomat Hotel
All include breakfast.
Twin / Double £142 per night.
Sole occupancy £120 per night.
Family Room £210 per night TBC (two adults one child) (if there are three adults, please be aware these rooms are two double beds. It can be done, but the price may be slightly different)
If you wish to push a third person into your room, it can be done at the additional cost of £30 per night.
Camping or Camper van (also including use of spa for washrooms including towels etc) £35 per person per night.
Hotel Prices - The Sessile Oak
(Breakfast not included but can be added on arrival)
Price is based on three nights (Friday 6th March, Saturday 7th March and Sunday 8th March 2026).
We are still awaiting confirmation of the final confirmed price, but it currently looks like £220 for the three nights in total per room.
If, when we offer you a place you wish to extend your stay please contact us and we'll confirm the cost for the extra nights.
We have 2 accessible rooms, 8 double rooms, 7 Double/Twin rooms and 8 family rooms available here.
We will need full payment which will be requested via an invoice from Llamedos Holiday Camp sent to your email address.
We will be looking to offer a transport pass again, this will be in the form of a minibus doing pick ups on Friday from The Sessile Oak and back to the Sessile Oak at the end of the night. A coach will do a single pick up on Saturday and Sunday morning, with the minibus doing several runs in the evenings to get everyone back.
The price of the Transport pass TBC depending on the amount of people wanting it.
Families
We've noticed that some people still haven't yet chosen their preferred Family. Please sign into the guest area to choose your preferred Family. Those who chose Rwby's Choice will soon find out where she has placed them.
Tickets Available
We still have a couple of tickets available for The Hogs Ball at Llamedos Holiday Camp 2026, if you are on the mailing list but haven't yet secured your ticket please do so as soon as you can. We would love to have a full event. If you know friends that might enjoy Llamedos why not give them a prod!
Unwanted Tickets
If you find yourself in a position where you can no longer attend, please be aware that as per our terms and conditions we are unable to offer refunds. When we have sold all the tickets, we will start a waiting list and we will try to arrange people to transfer your tickets too. Please do not sell tickets directly as we do not allow resale and the ticket will become invalid.
